Important Setup Information

The Ciirus account can be setup in stages. Each stage will unlock additional features for the property manager and the homeowner.

Stage One is the minimum required for the software to operate.

Stage Two is required to create quotes, work orders, website integration, add and calculate extras, reservation financial information, and to work with your agents.

Stage Three is required to work with accounting and producing owner statement, billing, taxes, and recurring charges.

Additional Configuration: Setting up your website, search engine optimization, SuperSites, and SecureTrack.

Before configuring your account, we would recommend familiarizing yourself with the Ciirus User Interface.

Stage One - The Minimum Requirements

Stage One is the minimum required for the software to operate:

  • Add/Edit your company profile
  • Add your homeowners
  • Create homeowner user name and passwords
  • Add properties
  • Add/Edit the booking categories
  • Add and Assign Cleaning staff and configure cleaning charges
  • Configure the tax and currency settings
  • Add Reservations
  • Edit confirmation email templates
  • Set homeowner permissions for access for the online edition

 

Stage One will allow the property manager to:

  • View availability
  • View/Edit and search multiple reservations and individual reservation details
  • Send guest and owner confirmations
  • Cleans will be automatically scheduled

 

Stage One will allow the homeowner to:

  • Sign in to the online homeowner edition
  • View availability
  • Add/Edit owner bookings
  • Edit the homeowner website (if the features has been enabled by the property manager)

Stage Two - Rates, Quotes, Work Orders and Financial Reservation Data

Stage Two is required to create quotes, work orders, website integration, add and calculate extras, reservation financial information, and to work with your agents. Additional features include the ability to:

  • Add rates sets
  • Configure Quote settings and booking terms
  • Add/configure any optional or mandatory extras (Insurance, welcome packs, BBQ rentals etc..)
  • Add contacts
  • Add inventory - individual item list (optional)
  • Configure lock box codes
  • Edit Quotes email templates
  • Setup additional staff access (if SecureTrack is enabled)
  • Add booking agents

Stage Two will allow the property manager to:

  • Create and send quotes
  • Enable online bookings and web services
  • View tax information
  • Receive, create, and dispatch work orders
  • Update reservation financial information
  • Create quotes for booking agents and enable booking agent restricted access

Stage Two will allow the homeowner to:

  • Request work orders
  • View/Update inventory

Stage Three - Accounting Configuration

Stage Three is required to create owner statements and output various standard reports. Additional features include the ability to:

  • Upload company logo and configure information for statements and reports
  • Add minimum account balances
  • Configure payment categories
  • Add utility and supplier account numbers for billing
  • Add property specific details
  • Add recurring charges
  • Configure credit card processing (if required)
  • Add/edit newsletters and templates

 

Stage Three will allow the property manager to:

  • Finalize the month, create and send the owner statements
  • Processing billing and batch billing
  • Process owner statements for cleans, taxes, commissions, recurring charges, work orders, extras, reservations, credit card charges
  • Process Cleans
  • Update reservation financial information
  • Send marketing newsletters to guests, staff and owners

Stage Three will allow the homeowner to:

  • View owner accounts

Additional Configuration

Setting up your Website

The software provides a built-in website that has pre-configured availability calendars, instant online quotes, multi-currency viewer, rates display, property search results, and property details pages. Most of these features can also be embedded into an external website. The website can either be template-based or fully configured to custom specifications.

Search Engine Optimization

The software provides full search engine optimization tools to help search engine placement for your website. The tolls include: Guest Reviews, Blog and News page, Keyword, Title and Description meta tags, Site Map, Monthly Custom report, and Monthly Performance Scores.

SuperSites

SuperSites are additional searchable websites that can display all or a subset of your inventory. Each SuperSite can display a different property description and rates. The websites can be fully customized. All the inventory is controlled from the master account. SuperSites can be used for:

  • A separate website for one of your agents
  • A website in another language
  • Marketing a subset of properties perhaps for a particular country, region or resort

SecureTrack

SecureTrack is an optional service for Ciirus Property Manager that allows restricted multiple staff and vendor access to your Ciirus Property Manager account. Updates and changes made by the administrator, a member of staff, vendors, and homeowners are tracked, recorded, and stored for up to two years. The history can be recalled, filtered, and viewed by the administrator (the account owner) at any time.
