What is a Lock-Off Unit?

A lock off unit combines one or more bedrooms that could be rented as a whole unit or as an individual bedroom. For example:

A Two Bedroom Unit will have a total of three separate listings.

Listing One: Bedroom Number One

Listing Two: Bedroom Number Two

Listing Three: The guest can book the entire unit.

If the entire unit is booked, the system will auto-block the individual bedrooms. However, if the guest books one of the individual bedrooms, the system will auto-block the entire unit, but will leave the other one-bedroom unit open for another potential booking.

This style of inventory maximizes occupancy by allowing 2 separate reservations placed into one unit.

How to Configure the Lock-off Units

First, add and configure the parent Lock-off property.

To do this, go to:

  1. Owners & Homes > Add New Property
  2. Either select an existing owner from the dropdown or create a new owner
  3. Click Next
  4. Enter the name of the new property. For example, 2 Bedroom Master
  5. Click the check-box ‘Will this be a parent lock-off property?’ It is important to check this box before proceeding to the next step as this setting can only be enabled at this time.

Complete the remaining pages within the Property Assistant as usual.

Add the individual bedrooms as Children Lock Off units

Next, add the individual bedrooms as Children Lock Off units

To do this, go to:

  1. Owners & Homes > Add New Property
  2. Select the Owner from the dropdown and click Next
  3. Enter the name of the child property. For example, 2 Bedroom Master  Bedroom 1
  4. Click Next Twice to move onto the Basic Details page within the Property Assistant
  5. Assign the applicable Lock-off Parent Property by clicking on the dropdown

All properties that have been enabled as the ‘Parent lock-off property’ will appear. Select the appropriate property. This is how the system connects the child property to the parent so when a booking is made in the parent property, the system can automatically block off the child properties and vice versa.

6.   Complete the remaining pages within the Property Assistant by clicking Next and proceed with the prior steps to add the remaining child properties.

How to Manage Reservations for Lock-off Properties

Using the Bookings Schedule, we can easily identify the availability for the Lock-off properties

Go to: Reservations & Quoting > Bookings Schedule

Right click on the column header > select the column chooser > drag and drop the ‘Lock-off Parent’ column into the table. This will display the Parents Property ID against all connected child properties. Click on the column header to sort the table by the property ID.

Adding a reservation to the parent property

To add a reservation to the parent property, Click on the Arrival Date and drag the mouse over to the Departure Date > Release.

 

  1. Click on Add Booking / Blackout Date
  2. In the Add Reservation screen, Enter the guest first and last name
  3. Assign the Booking Category and any other details if applicable
  4. Click Add
  5. The system will automatically confirm the booking in the parent property and place a black-out to all connected children properties. Since the parent property is now booked, the children properties cannot be booked for these dates.

Adding a booking in to a child unit

To add a booking in a child property, follow the steps above.

The system will automatically confirm the booking in the selected child property and place a black-out in the parent property. However, the other connected children properties will remain open for another potential guest to book.
