What is Rental Exchange

Rental Exchange  allows property managers to pick and allocate bookings from a pool of confirmed reservations. The bookings have been uploaded by travel agents and tour operators seeking a home for the confirmed reservation.

This feature can be found from the Windows edition of Ciirus screen:

How Rental Exchange Works

  • Travel Agent/Tour Operators upload confirmed reservations, with Dates, Property Type, Bedrooms, Location, the amount offered
  • Every 6 hours an email is sent if new bookings are available
  • Property Manager views reservations that match available homes and requests the Reservations they would like to accept
  • Within 24hours the agent will accept or reject the reservation
  • If accepted, the reservation is confirmed

The Reservation Supplier (typically the agent)

Below are some typical scenarios for the Reservations Supplier:

  • A travel agent has confirmed reservations and seeks suitable homes to place the reservations
  • A tour operator has more reservations than available homes and requires additional homes to place the confirmed reservations
  • A property manager has a confirmed reservation and does not have any available homes to place the reservation

Requesting A Reservation from the pool

A property manager can view and request a Reservation from the Rental Exchange screen:

The homes in the property manager account must first be configured before matching Reservations can be viewed (See Below) If the homes are not correctly configured, the matching Reservations to homes offered will not display in the available pool.

To view the terms for the selected booking, click on Request Reservation

Example: 3 Bed Standard, community Highlands Reserve, dates, Gas Free, Games Room, Pool, amount offered $1450

How to Use the Rental Exchange service

To view available matching reservations:

  • Click Refresh
  • Select a Reservation
  • Click Show Matching Properties

To request a booking:

  • Click Request Reservation
  • View the terms and confirm if you will accept the booking
  • The booking will be allocated to your account as reserved if you accept
  • The agent will either confirm or reject the booking within 24 hours
  • If rejected the agent will send a reason for rejection and the home will be reset to available
  • If confirmed the reservation is confirmed

Requirements for Property Managers to View/Request Bookings

Each property must be correctly configured in order to enable you to view or take bookings. It is essential that you enter the details below accurately and classify the property correctly to avoid financial compensation being sought from suppliers.

As a minimum the following must be set for each property

  • Number of Bedrooms
  • Check if there is a pool
  • Check if there is a spa
  • Check if there is a games room
  • Select class of property (i.e. Standard, Superior, Deluxe or Ultimate). See guidelines below for information on classifying properties in to the correct class. It is essential that you classify each property correctly. Classifying a property at a higher level than it really is may result in financial compensation being requested from the supplier.
  • Select community/resort. If a community/resort is not listed, let us know and we will add it to the list.

The settings above can be configured quickly as per the instructions below:

  • Go to the 'Management Company' menu at the top
  • Select 'General Settings' on the navigation menu to the left
  • Make sure the 'General' and 'Location' tick boxes are selected in the 'View Settings' and you can then modify the settings in the property list.
Other requirements (the following details are required prior to guest arrival on confirmed bookings)
  • For each property where you place bookings you must also ensure that the property address and telephone number is entered (in the property details, location menu).
  • The lock box code must be entered in to your secure property details page. Also if applicable you must enter the alarm code and gate code.
  • Make sure in Account Settings you have your contact details (company name, email address, phone number and contact name)
  • If possible, please ensure there are photographs uploaded of each of your properties. As a minimum we ask that you add a front image of the property. Although this is not mandatory, properties with no photograph are more likely to have a booking request rejected

Property Classifications

HOME GRADING

There are two categories of properties, “Standard” and “Select”, detailed below. If a booking is allocated to a NAMED community, the home must be within the specific community booked, but also meet “Select” requirements. If a home is booked Specific (by the door), it must meet professional cleanliness requirements and all Health & Safety requirements.

a. Standard Homes

i.    May be older homes, in established neighborhoods, so long as neighborhood appearance does not negatively affect

ii.    experience of arrival or expectations of a vacation home community.

iii   Furnishing or décor may be older with a reasonable amount of wear, however a high level of cleanliness is expected.

iv.  Towels and linens must be completely clean without stains, damage or wear.

v.   Internal, external and pool lighting must be fully functional.

vi.  Pool must be screened and free from tears, damage or missing panels.

vii.  Regular pest-control must be performed by a licensed professional pest-control company and documented with the management company.

viii. Close to Disney (within a 20-mile radius of Disney property)

x.    Wi-Fi included.

xi.  Mattresses / Beds / Box Springs  beds and bed fixtures must not be broken, sagging, squeaky or creaky

Must also include:

1.   Living room and dining room has combined total available seats (kitchen chair, dining chair, bar stool) seating to suit the size of the home.

        a.   3 Bedroom home = seating for 6.

        b.   4 Bedroom home = seating for 8.

        c.   5 Bedroom home = seating for 10.

2.   Cable or satellite TV services.

3.   Sun-lounges to suit the size of the home. 4-bedroom home should have a minimum of 2 loungers, 4 outdoor chairs, and an outdoor table. A minimum of 2 sun loungers is required in all homes, although 4 is preferred if space allows.

4.   Fully equipped kitchen including toaster, kettle, microwave, dishwasher, fridge, freezer and oven. All appliances must be operational and damage-free.

5.   Matching set of plates, glasses, mugs and cutlery, pots, and pans suitable for the size of the property and number of customers.

6.   2 sets of linen per bed, 2 bath towels per person.

7.   1 hand towel and 1 washcloth per person.

8.   Cleaning equipment to include vacuum cleaner, mop & bucket, broom & dustpan, washing machine, and tumble dryer.

9.   The landscape must be well-maintained and managed.

10.  A heated swimming pool must be available.

11.  Must be newer or fully re-furbished homes, in well-kept neighborhoods where there are more properties operating as quality vacation homes rather than residential.

b. Select Homes

i.    Furnishing or décor should be current, modern, clean, and free from signs of wear with no damage. A high level of cleanliness is expected. Clutter and personal Owner items should be minimal.

ii.    Towels and linens must be completely clean without stains, damage, or wear.

iii.   Internal, external, and pool lighting must be fully functional.

iv.  Screened-in private pool.

v.   Close to Disney (within a 20-mile radius of Disney property)

vi.  Wi-Fi included

vii.  All rooms in the home must have been remodeled/updated in the past 36 months and have a newer look and feel, free from damage with no signs of wear and tear

viii. Major appliances in the home must be in good working condition free from damage with no signs of wear and tear (no large scratches, no broken handles or shelves, all elements working etc) i.e. Refrigerator, Microwave, Dishwasher, Oven.

ix.  Flat Screen TV in all bedrooms and main living room.

x.   Community pool and facilities.

xi.   Mattresses / Beds / Box Springs  beds and bed fixtures must not be broken, sagging, squeaky or creaky.

Must also include:
