From the Reservation Folio, you can easily modify the financial details of a reservation. This includes changing the total amount, adding or removing additional fees, and updating the cleaning fee, booking fee, pool heat, or other extras. You can also send an email to the guest to notify them of any changes, or process their credit card to charge for any additional fees.
Where to go
To view or edit the reservation's financials, locate the applicable reservation and open the Reservation Folio:
Reservation financials
The first tab of the Reservation Folio shows the financial details of the reservation. The Reservation Rates section breaks down these details, so you can easily see the rental rate, additional fees, taxes, and grand total.
The rates section of the Reservation Folio is editable. You can click into the rental rate, cleaning fee, or booking fee field and type in a new amount. The taxes and grand total will automatically update to reflect the change.
If the unit has pool heat, you can check the box next to "Pool Heat" to calculate the pool heat cost for the reservation.
If you need to add a booking fee, click the calculator icon next to "Booking Fee." This will calculate the booking fee based on what's been configured for the unit.
Edit tax amounts
Taxes are calculated based on the tax locations assigned to the unit. To update the tax percentage amounts or disable a tax from calculating, go to "Reservation Actions" > "Edit Tax Settings."
Please note, you can only update the tax settings on your direct bookings and not on channel bookings.
Override the grand total
You can override the grand total of a reservation. For example, if you have agreed on a price with the guest, you can enter this amount and the system will recalculate the rental rate, mandatory fees, and taxes.
To override the amount, select "Reservation Actions" > "Set reservation total."
PMC commissions & owner amounts
To see a breakdown of the reservation fees, scroll to the bottom of the Financials tab in the Reservation Folio.
The breakdown will show you:
What the guest has paid
The amount retained by the property manager (typically commission, cleaning fee, and taxes)
The amount due to the owner (typically the base rental amount minus the property manager commission)
You can update your commission to either a fixed amount or change the percentage amount here as well. Doing so will automatically update the amount due to you and the owner.
