Using eCiiGN to send agreements and contracts

With the eCiiGN module, you can create electronic documents to be signed by guests, owners, and staff members, preventing disputes before they occur.

An electronic signature, or e-signature, is a digital representation of a person's handwritten signature. It is used to sign documents electronically, agreeing to the contents of the document.

The following eCiiGN documents can be created in CiiRUS:

  • Guest Rental Agreement

  • Power of Attorney

  • Management Contract

  • Rental Supplier Agreement

  • Credit Card Authorization Form

  • Staff Member NDA

  • Work Order Approval

eCiiGN documents are convenient and more secure than traditional paper-based documents, as they can be signed and stored electronically.

Once the document is created, you can add the necessary information and send it to the recipient for signature.

The recipient will receive an email with a link to the eCiiGN document. They can then sign the document electronically using their computer, tablet, or smartphone. Once the document is signed, it will be stored securely in CiiRUS.

Pre-qualifications:

To send an eCiiGN document from CiiRUS, your account must meet the following criteria:

  • Outbound email settings must be configured.

  • CiiRUS website with an SSL certificate is required. If you don't have a CiiRUS website, our support team can help you create a CNAME to link to your CiiRUS account. When the recipient receives the document to sign, it will open within your website. The SSL certificate ensures secure, encrypted communication between the website and the user's internet browser.

  • eCiiGN module must be enabled for your account. A member of our support team can enable this for you. To submit a ticket, visit support.ciirus.com.

Other things to note:

When creating your eCiiGN documents, please keep the following in mind:

  • Avoid HTML and special characters. These aren't permitted and may break the document, preventing it from being sent.

  • Include either the signature or initials token in the template. This is required for the eCiiGN request to process.

  • If you're copying information from external sources, be sure to remove special formatting by first pasting it into a plain text editor (such as Notepad) and then copying it into the CiiRUS template editor.
