Reservation Extras are additional fees that guests may be charged for when making a reservation. Extras can be optional or mandatory, and can be charged as a percentage amount, a fixed flat fee, or a nightly fee.
Here's a few examples of Reservation Extras you could create in CiiRUS:
Optional Extras:
Pet fee
Early check-in/out fees
Crib rental
BBQ Grill
Mandatory Extras:
Resort fee
Management fee
Energy surcharge
Damage waiver
Reservation Extras can be a great way to generate additional revenue for your units.
Here are some important things to know about Reservation Extras:
Optional extras: Optional extras are only supported on your website for guests to add upon booking. However, they can be added to any reservation post-booking. You can even create automated messages to upsell your extras, such as an email to the guest asking if they would like to add a BBQ to their stay. Bring on more revenue!
Mandatory extras: Mandatory extras are automatically included in all quotes and reservations.
Vrbo: Vrbo supports mandatory fees (fixed amounts and percentage amounts only). This means that you can set up mandatory extras that will be automatically added to all quotes and reservations.
Airbnb: Airbnb has their own set of fees that they support. You'll still create them as extras in CiiRUS, but there's a few additional steps. Please click here for more information.
Adding Extras
To create and manage your Reservation Extras, go to:
Reservations & Pricing > Pricing
Reservation Extras
The grid allows you to view a summary of any previously added extras, and provides a read-only interface. You can edit an extra by clicking on the "Edit" icon. But before we proceed with editing, let's review how to add a new extra.
To add a new extra, click the "Add+" icon above the grid:
Optional Extras
Let's start by adding a new optional extra. We'll use a BBQ grill rental as an example, where the BBQ is a flat fee of $50. In this example, the BBQ is an optional extra that the guest can choose to add to their stay during the checkout process on your website, or through their GuestPass account post-booking.
To add this extra,
Click the "Add+" icon above the grid which will create a new row.
Type a code and a description. In this example, the code will be "BBQ" and the description will be "Nightly BBQ grill rental."
To finish creating the extra, click the "Edit" icon.
In the popup window, you can fully configure the extra by following the steps in each tab. Not all fields or settings are required or may be needed depending on the extra that you're setting up. In this example, we'll focus on the fields that are needed for an optional BBQ grill extra:
Step One: Configuration
Specify that the extra is Optional. This is important because it tells CiiRUS that the extra is not required for the guest to book the reservation.
Enable the settings to allow guests to add the extra from your website, GuestPass and allow owner's to add to their reservations via the Owner Portal: This allows guests to add the extra to their reservation during the checkout process on your website, or through the GuestPass account post-booking. It also allows owners to add the extra to their reservations through the Owner Portal.
If applicable, choose which units are available to add the BBQ to. This is only necessary if you only want the BBQ to be available for certain units.
If you hire the BBQ from a third-party vendor, specify the vendor. This is optional, but it can be helpful if you want to generate a margin report of what's due to the vendor for the BBQ rental.
Step Two: Amounts
Type: You can choose whether the extra is a percentage, nightly amount, or a flat fee.
If you choose "percentage," the extra will be a percentage of the base rate of the reservation.
If you choose "nightly amount," the extra will be a fixed amount per night.
If you choose "flat fee," the extra will be a fixed amount regardless of the length of stay.
2. Amount: Enter the amount of the extra. This is the amount that guests will be charged for the extra.
3. Cost Price to Vendor: If applicable, enter the cost price to vendor. This is the amount due to the vendor. You can create margin reports to see your profit.
4. Taxes: If the extra is taxed, specify which taxes to charge.
5. Revenue Share: Enter the amount of the extra that you retain on your PMC bookings and an owner bookings. For example, if you keep 100% of the revenue for the extra, enter "100%" in both fields.
CiiRUS super-users can configure additional settings for optional extras in the "Step Three - Conditions" tab. These settings are only supported by your CiiRUS website.
You can apply the following conditions to optional extras:
Date range: You can specify a date range during which the extra is available.
Charge per guest: You can choose to charge the extra per guest or per reservation.
Minimum or maximum length of stay: You can choose to only charge for the extra if the reservation is for a minimum or maximum number of nights.
If you need additional help with this step, you can submit a support ticket from the CiiRUS Help Center.
Once you've finished configuring the extra, click the "Save' button to save and close out:
Mandatory Extras
In the next example, we'll add a mandatory extra, "Resort Fee." We want this fee to apply to all quotes and reservations.
To add this extra,
Click the "Add+" icon above the grid which will create a new row.
Type a code and a description. In this example, the code will be "RESORT" and the description will be "Resort Fee."
To finish creating the extra, click the "Edit" icon.
In the popup window, you can fully configure the extra by following the steps in each tab. Not all fields or settings are required or may be needed depending on the extra that you're setting up. In this example, we'll focus on the fields that are needed for a mandatory fee:
Step One: Configuration
Specify that the extra is mandatory. This is important because it tells CiiRUS that the extra is required for all quotes and reservations.
If applicable, choose which units require the extra. This is only necessary if the Resort Fee is only required for certain units.
The other fields in this step are not required or really necessary when creating mandatory extras.

4. Taxes: If the extra is taxed, specify which taxes to charge.
5. Revenue Share: Enter the amount of the extra that you retain on your PMC bookings and an owner bookings. For example, if you keep 100% of the revenue for the extra, enter "100%" in both fields.
Once you've finished configuring the extra, click the "Save' button to save and close out:
