Add a new reservation for an existing guest

Great news! You have a repeat guest on the phone who wants to book the same unit for their upcoming vacation. In CiiRUS, you can create a new reservation that's linked directly to the existing guest record if the guest is booking directly with you. This saves you time because you won't have to re-enter their contact information, and you'll have access to all of their guest history right from their record.

How to locate the guest's record

First things first, you need to find the guest record in CiiRUS.

The quickest way to find a guest is to type their last name in the search bar. The search bar is located at the top of every screen in the system.

To do this, follow these steps:

  1. Click on the search icon at the top of the screen

  2. Type the guest's last name in the search bar

  3. Click on the blue search icon to search for the guest

A new tab will open in your browser, redirecting you to the "Manage Guest Profiles" module. The grid will automatically load any guest records with the last name of "Smith".

You can use the filters on this screen to narrow down your results if needed. Once you have located the guest, you can add the reservation.

Add a reservation

To add a reservation for this guest, simply select the "Add Reservation" icon:

The add reservation popup window will appear. Notice that the contact details for the guest are pre-populated, but you can update them if anything has changed!

Proceed with adding the following details to add the new reservation:

  1. Confirm the unit selection

  2. Select the arrival and departure date

  3. Update the guest details if applicable

  4. Click the "Add" button

After adding the reservation, the Reservation Folio will open. This is where you can view and edit the reservation financials, housekeeping, comments, and more.

Guest Profile

From the Reservation Folio, you can pull up the guest record by clicking on the "i" icon next to the guest name:

To see a history of reservations and saved quotes for this guest, select the "Reservations and Quotes" tab:

Adding a new reservation from an existing guest record will eliminate duplicate guest records within the Manage Guest Profiles module. For more information on how to manage guests, please read the following article:
