From a reservation, you are able to track the activity and actions giving you a clear audit trial of actions performed against a reservation.

How to see a reservation's activity

  1. Go to Reservations > Reservations Manager or Reservations List

  2. Locate the reservation and right-click to open the shortcut menu

  3. Select "Reservation Activity & Tracking"

Actions

The Actions tab displays all reservation actions, such as date changes, on-demand emails sent, extras added, and if the reservation has been moved to another unit. The system records the date and staff member who performed each action to ensure accurate tracking. These actions can't be edited or deleted.

To add an external action to a reservation, such as a phone call to the guest, click the "Add+" icon and specify the date and the action. The system will automatically populate the "Added by" field.

Communications

The Communications tab displays all automated emails sent to guests. Email tracking is only available for users integrated with Mailchimp's Transactional Email service or an SMTP server, and the email content will only show here if the email was sent via Mailchimp's Transactional Email.

This tab only displays automated emails. Any on-demand emails you send from the reservation will appear in the Actions tab.

Change Log

The Change Log tab provides an audit trail of all financial changes made to a reservation, including changes to the base rental rate, additional fees, and commissions. You can also see the staff member who made the changes, ensuring accurate tracking.

You can also view reservation activity and tracking from the Reservation Folio. Simply click Reservation Actions > Reservation Activity & Tracking to open the same window.
