The maintenance module in CiiRUS is a powerful tool that manages, organizes, and displays work orders for your units. It allows you to:

  • Create and track work orders for a variety of tasks, such as repairs, supplies, and renovations.

  • Assign work orders to specific vendors.

  • Track the progress of work orders and receive notifications when they are completed.

  • Generate reports on work order activity and costs.

The maintenance module is integrated with Task Manager in real time, so when the assigned vendor updates the work order, the status will reflect in the Maintenance module.

Creating a work order couldn't be easier and can be done in a few simple steps.

Adding a new work order

To add a new work order, navigate to:

  1. Operations

  2. Maintenance

  3. Click the "Add+" icon

To create a work order:

  1. Enter the relevant details in the pop-up window, including:

    • The unit to schedule the work order for

    • The scheduled start date and end date

    • A brief subject of the work order, such as "Fix broken mirror in master bathroom"

    • Any additional details or comments for the vendor

    • The owner account transaction type to display on the owner statement

    • The vendor who is assigned to complete the work order

  2. Click the "Add" button

After adding the work order, use the grid to configure additional detail such as:

  • Show in owner portal to allow the owner to see the work order

  • Enter the costs to charge the owner which may include a mark up and the cost due to the vendor for completing the work

Vendor notifications

You can set notifications for your vendors to receive alerts for system actions and events related to their tasks via email, SMS, and/or browser push alert. For example, you could set up a notification to alert the vendor when a new work order has been assigned to them.
