CiiRUS' inspection module can automatically schedule post-departure inspections for each reservation and assign them to the default inspector.

Before using the inspection module, you'll need to set a few things up:

  1. Add your inspectors to the contact/vendor list and assign them to the units they are responsible for.

  2. Set up your inspection types and statuses, such as pre-arrival inspections or mid-stay inspections.

Once an inspection is scheduled and assigned to an inspector, they can view its details and update its status directly in their Task Manager portal.

Adding inspectors

Adding an inspector couldn't be easier thanks to the Quick Actions menu that can be accessed from anywhere in the system.

From the top navigation menu, click the dotted icon to open the Quick Actions menu and select "View/Add Contact."

To add an inspector:

  1. Click the "Add+" icon and fill out the inspector's personal contact details.

  2. In the contacts grid, enable the Inspector checkbox. This tells the system that this vendor is an inspector and can be assigned to inspections. For example, the primary contact could be a cleaning company that also inspects homes for you. Enable the Inspector checkbox so you can assign them to inspections.

  3. Click the "Save" icon.

Next, configure your inspection types and statuses to assign to inspections later on.

Here are some examples of inspection types:

  • Pre-arrival inspections

  • Mid-stay inspections

  • Post-departure inspections

Here are some examples of inspection statuses that inspectors can use to let you know the status of the inspection:

  • No issues found

  • Minor issue

  • Major issue

  • Needs review

To configure the inspection types and statuses, navigate to:

  1. Global Settings

  2. Settings Assistant

  3. Operations Setup

  4. Inspections Settings

The system has some preconfigured statuses and types already added. If you want to add new ones, simply click the "Add+" icon and enter the name of either the status or type. Don't forget to press the "Save" icon.

Enable automated inspections for reservations

The system can automatically schedule post-departure inspections on the departure date of the reservation.

We're working on automating pre-arrival inspections, a highly requested feature. Stay tuned!

To set up the automation of post-departure inspections, navigate to:

  1. Owners & Listings

  2. Listings > Advanced Unit Set Up

  3. Click the "Field Chooser" icon.

  4. Enable the Default Inspector and Scheduled Inspection Type for New Booking columns.

  5. In the grid, specify the default inspector for each unit and the inspection type.

  6. Press the "Save" icon

The system automatically assigns an inspection to a reservation to the default inspector when the reservation is placed.

Note that automated inspections are scheduled for the departure date of a reservation, so the inspection type is typically "End of Stay Inspection." Other inspection types, such as "Mid -stay Inspections" or "Long Vacancy Inspections," can be added manually on an ad hoc basis.

Scheduling an inspection

The Inspections Module automatically schedules and assigns inspections to reservations and blackout dates, just like the Housekeeping Module does for cleans. However, the system can only automate post-departure inspections, which are always scheduled on the departure date of the reservation.

You can also manually schedule ad-hoc inspections, such as pre-arrival or mid-stay inspections, from the Reservation Folio.

To view all upcoming inspections in one view:

  1. Go to Operations > Inspections.

  2. Use the filters at the top to specify the date range, inspector, or inspection status.
