Schedule a clean or inspection for a reservation
Updated over a week ago

Housekeeping

The system automatically schedules a standard end-of-stay clean for each reservation and assigns it to the default cleaner for the unit. You can also add additional cleans, such as a mid-stay clean or a refresher clean. Once a clean is scheduled, it will automatically appear on the Housekeeping report and in Task Manager for your cleaners.

Inspections

The system can automatically schedule a post-departure inspection on the departure date of the reservation and assign it to the default inspector for the unit. To do this, you need to configure it in Advanced Unit Setup. Click here to learn more about setting up inspections. Once an inspection is scheduled, it will automatically appear in Task Manager for the assigned inspector to see.

Both cleans and inspections can be added directly from the Reservation Folio.

Where to go

Housekeeping and inspections can be added or modified for a reservation from the Reservation Folio.

  1. Locate the applicable reservation > Open the Reservation Folio

  2. Select the "Operations" tab

Housekeeping

From the housekeeping section, you can see the cleans that are scheduled for the reservation. If you need to change the assigned housekeeper or make any changes, you can do so here by selecting the applicable field:

To add a new clean, click the "Add+" icon to create a new row in the grid. Then, specify the following:

  1. Housekeeping date: The date on which the clean should be completed.

  2. Housekeeper: The cleaner who will be responsible for the clean.

  3. Housekeeping type: The type of clean, such as a mid-stay clean or a refresher clean.

  4. Task Manager template: A template that provides instructions for the clean. You can leave this blank to use the default template.

  5. Comments: Any additional information that you want the cleaner to know. These will be visible in Task Manager.

  6. Click the "Save" icon.

Increase your revenue by offering guests an additional mid-stay clean for longer stays at an extra cost.

Important: If you charge the guest for extra cleaning, be sure to add the extra under the Financials tab in the Reservation Folio.

Inspections

The Inspections Module automatically schedules and assigns inspections to reservations and blackout dates, just like the Housekeeping Module does for cleans. However, the system can only automate post-departure inspections, which are always scheduled on the departure date of the reservation.

You can also manually schedule ad-hoc inspections, such as pre-arrival or mid-stay inspections, from the Reservation Folio.

To add a new inspection, click the "Add+" icon to create a new row in the grid. Then, specify the following:

  1. Inspection date: The date on which the inspection should be completed.

  2. Inspector: The inspector who will be responsible for the inspection.

  3. Type: The type of inspection, such as a ore-arrival inspection.

  4. Status: The status of the inspection such as minor issue or major issue found.

  5. Task Manager template: A template that provides instructions for the inspection. You can leave this blank to use the default template.

  6. Comments: Any additional information that you want the inspector to know. These will be visible in Task Manager.

  7. Click the "Save" icon.

Why isn't my inspector showing to assign?

If you've created a new contact/vendor that you'd like to assign as the inspector, make sure that they're specified as an inspector in the contact list.

You can do this by going to the Quick Actions shortcut > View / Add Contact > Enable the checkbox within the "Inspector" column.
