Setting up owner portal permissions

It is recommended to set up the owner's permissions before giving them access to their owner portal. The permissions determine what the owner will be able to see and access when they log in.

Setting up permissions

To set the permissions for each owner, go to:

  1. Owners & Listings > Owner Profiles

  2. Click the ellipses icon to open the menu and select "View/Update Owner Profile"

Select the "Owner Portal Permissions" panel:

Username and password

Here you can update the username or reset the password.

Username:

It is recommended to use a naming convention for the owner's username, such as their first and last name with no spaces. For example, for the owner John Lester, the username would be JohnLester. If the username is already taken, you can try adding a number after the name. For example, JohnLester23.

Password:

You can change the password here but it must meet specific requirements.

Restrict owner portal access

When enabled, the selected homeowner will be unable to access the owner portal, even if they have the correct username and password. Therefore, if an owner ever has trouble logging in, you should first verify that this option is disabled.

Permissions

The following permissions can be set on an individual owner basis depending on what you want the owner to have access to within their portal:

  1. Enabling the "Allow the Owner to View a List of Reservations" checkbox gives the owner the ability to view the availability calendar, view reservations with restricted data access, and add/edit owner bookings.

  2. Enabling the "Allow the Owner to Add Bookings from the Portal" checkbox allows the owner to add bookings from the portal. Once the booking is created, the owner and property manager will have full access to it.

  3. Enabling the "Allow the Owner to View Finalized Monthly Statements, Work Orders, and Property Address" checkbox grants the owner the permission to add work orders, view unit details, and view, print and export monthly/annual statements.

  4. Enabling the "Make Unit Name, Address and GPS Coordinates Read Only" checkbox will make the unit details read-only for the owner. This means that the owner won't be able to make any edits to the unit details.

  5. Enabling the "Allow the Owner to Create Rates and Generate Quotes Exclusive to the Owner Portal" checkbox gives the owner the ability to create rates to use when generating quotes in their portal.

Allow owner's to see rental income due to them

This setting determines whether the owner will see the amount due to them for any reservations that you've made in their units.

  • Default: This is the global setting that is set in the Settings Assistant.

  • Allow: The owner will see the amount due to them if this setting is set to Allow.

  • Don't Allow: The owner will not see the amount due to them if this setting is set to Don't Allow.

Choose wisely!

It is important to note that if this setting is set to Allow, the owner will be able to see the amount due to them from the time the booking is placed. If the amount due to the owner changes, for example, if the guest makes a change to the booking or if the booking is cancelled, the owner may have questions about the change.

Therefore, it is important to consider whether or not you want the owner to see the amount due to them before setting this setting.
