Reservation flags

Reservation flags are used to indicate that a reservation may have a special requirement. This information can be used to prioritize reservations and to ensure that guests' needs are met. For example, you could create a reservation flag named "VIP Guest" to indicate that a reservation has a VIP guest coming to stay. This would allow you to prioritize the reservation and make sure that the guest has a comfortable and enjoyable stay.

Reports can also be created for flags. This can be helpful for tracking the performance of different flags and for identifying trends.

Here are some examples of flags that you could create:

  • VIP Guest

  • Early check-in

  • Late check-out

  • Disabled guest

  • Allergies

  • Dietary restrictions

  • Pets

  • Special requests

Before you can assign a flag to a reservation, you'll need to create the flags in the system first.

Create flags

Reservation flags can be created from the Settings Assistant. To add new flags, follow these steps:

  1. Global Settings > Settings Assistant

  2. Reservation & Fees Set Up > Reservation Flags

  3. Click the "Add+" icon to add a new row to the grid

  4. Enter a code and description of the flag

  5. Click the "Save" icon

Adding flags to a reservation

Once you've created your reservation flags, you can enable/assign them to a reservation to indicate that it has a special requirement. This can be done from the Reservation Folio.To assign a flag to a reservation, follow these steps:

  1. Open the Folio

  2. Select the "Flags" tab

  3. From the list of flags, click the checkbox to enable it for the reservation

  4. Enter any specific comments for this reservation and flag. For example, if you are enabling a "VIP Guest" flag, you could enter additional details of this guest and the requirements

To see only the flags that are enabled for a reservation, select the "Show checked only" checkbox. This will filter the list of flags to only show those that are currently enabled.

Here are some additional details about assigning reservation flags:

  • You can assign multiple flags to a single reservation.

  • You can disable a flag at any time by unchecking the checkbox.

  • You can create custom flags to meet the specific needs of your company

Reporting on flags

Reservation reports can be generated to show which reservations have flags included. This can be helpful for upcoming arrivals to check if a reservation has any special requirements.

We recommend using the Reservations List, which is a great tool for custom reporting. To generate a report, follow these simple steps:

  1. Navigate to the "Reservations List" on the main menu

  2. Click on the "Reports" button

  3. Choose "Reservation Flags" from the dropdown > Click "Load Report"

The reservations report will be generated and displayed. It will show all of the reservations that have any flags enabled. The report will also show the reservation details, such as the guest name, arrival date, departure date, and basic details.

To see the specific flags that are assigned, hover over the flag icon:
