Configuring questions & requirements within Task Templates

Questions & Requirements are the actual criteria that the staff member must meet in order to complete the task. Questions & Requirements can abstractly apply to the whole section. They can also apply to Items within the room (more on Items later in this section).

Questions & Requirements

There are seven types of Questions & Requirements:

A series of steps that must be accomplished before moving on.

Check for missing guest articles in each of the following places:

  • Under the bed, dresser, and side-tables

  • In the side-table drawers

  • Among the useed bedsheets

Photo

The staff member must upload a photo of a room or item.

Upload a photo of the room from the doorway so we can see the starting condition of the room.

Count

The staff member must enter a numerical count of an item.

Enter how many toilet paper rolls are in the storage closet, and open an issue if more is needed.

Text Entry

The staff member must respond with free-form text entry.

Provide a 1-2 sentence summary of the room’s condition.

Yes/No

A yes-or-no type question the staff member must answer.

Does the room require a supplemental inspection?

Rating

The staff member must rate a room or item on a scale from one to five.

Rate the cleanliness standards of the guest based on the condition in which they left the home.

Condition

The staff member must specify the condition of a room or item. The options are Good, Dirty, Damaged, or Not Working.

Specify the condition of the toaster oven.

To better understand how Question/Requirements are added to Tasks, think for a moment about the kind of things you may ask of a cleaner or maintenance person. Many questions will be broadly applied to the whole event, which we call "Abstract", whereas others will apply to a specific object.

An abstract Question/Requirement applies to the section as a whole. For instance, “rate the condition of the room” is abstract. Let’s start by adding abstract Questions/Requirements to a section of the Task Template.

Add a Question/Requirment

To add a Question/Requirement to a section:

  1. Click on the name of a section.

  2. Select “+ Add Question/Requirement”.

  3. Select the requirement type from the picklist.

  4. Enter the description of the Question/Requirement in the text field below.

  5. Select “Require a photo” if the staff member must upload a photo to accompany their response.

  6. Select “Upload reference photo+” to upload a picture that will accompany the Question/Requirement. The staff member can use the reference photo to carry out the task exactly as required.

  7. When finished, click “Save”.

A Question/Requirement has now been added to the section as-a-whole.

Add a Question/Requirement to Items

Recall the earlier discussion about abstract questions versus item-specific questions. Task Manager includes an option to add Items within sections. Questions & Requirements can be added to those items, rather than just abstract to the section as a whole.

For instance, there is a special way the master bed needs to be made, and the bath towels must be arranged ornately at the foot of the bed. For this, you may add King Bed as an Item in the Master Bedroom section, and then add specific Question/Requirements to the Kind Bed. Sections can have an unlimited number of items.

To add Items to a Section:

  1. Click the name of the Section where the Items will be added.

  2. Click “+Add Items”

  3. Select the item from the picklist. If the required Item is not already in the picklist, select “Add New”, and type in the Item name.

  4. Click “Save”.

The new Item will now appear nested within its section. Questions/Requirements can then be added onto the item, similarly to how they were added to the section as a whole.

To add Questions/Requirements to an Item:

  1. Reveal nested Items by clicking the name of the Section.

  2. Click the name of the Item.

  3. Select “+ Add Question/Requirement”.

  4. Select the requirement type from the picklist.

  5. Enter the description of the Question/Requirement in the text field below.

  6. Select “Require a photo” if the staff member must upload a photo to accompany their response. You can upload multiple photos and choose which one(s) should be required.

  7. Select “Upload reference photo+” to upload one or more photos that will accompany the Question/Requirement. The staff member can use the reference photo to carry out the task exactly as required.

  8. When finished, click “Save”.

To create a running list of checklist items on a "Checklist" Questions/Requirement Type, see the "Add Checklist Task+" button between step 5 and 6 above. By pressing this, a new field appears below step 5 where a subsequent checklist item can be added. In this specific example, a detailed checklist could be created to detail exactly how the towels are folded into a swan formation, for example.
